PRODUCT ENHANCEMENTS (Version 1.9.0)

Improvement Added the ability to print Checkin forms during both checkin procedures. During the process of being checked in (assigned a CS) you now will be prompted to ‘Print Check In Form’ or cancel the printing. During a ‘Multi Checkin’ there is a checkbox at the bottom right of the list, ‘Print Checkin Form’, if this box is checked then each guest in the list will have a Checkin form printed.
Improvement An ‘Alert’ process has been added to the program. You can now add an alert to a guest. An alert can be one of two levels, a ‘Warning’ (Red Stop Sign) or a ‘Caution’ (Yellow Yield Sign). You also record the date of the alert and the duration in days from the date. There is an area to write a short description of the alert. You can add as many alerts as you wish. The alert shows in the booking window beside the name of the guest. You many click on the alert symbol, Red Stop Sign or Yellow Yield Sign, to display additional information about the alert. If there are two or more alerts with different levels then the Red Warning will be shown. You may edit or delete the alerts. Alerts may also be accessed from the ‘Guests’ section of the program. At the top of the window there is an alert icon.
Improvement New program update procedure. Easily update the program, files and data store all within one process. Roll back recovery on failure added.
Improvement Added internal message error tracking. If the internet is available program errors are automatically emailed to development. No information other than the state of the program is sent.
Improvement Sync process updated for additional processes and data.
Improvement Added ‘Booking Type’ to CS (Charge Sheets). Now a ‘Booking Type’ link between the people and the CS are checked to help ensure ‘Staff’ types are on ‘Staff’ CS. This is a warning system only. It does not prohibit the mixing of types on a single CS. The warnings will be displayed during several processes including the ‘Daily Update Procedure’ where it is in the ‘ATTENTION’ area and shown as ‘Mismatch Booking Type.’ If you click on the number it will show you which CS do not match the room bookings. From that screen you can ‘Open CS’ or ‘Open Booking’ and change Booking Type to match.
Improvement Added default ‘No Charge Taxes’. This affects the state of a CS when it is first created. You can change the default or change the CS at anytime.
Improvement The ability to ‘Hide’ and unhide rooms and wings has been added to the program. This allows changes to the physical camp while still maintaining historical data. When a room or rooms are hidden they are also removed from the stats. As an example: if you close a Wing you could ‘Hide’ the rooms within that wing. They will not show on the booking screen and all stats for occupancy will be based on what rooms are available for booking. When the wing is reopened for booking the stats will reflect the occupancy of the reopened rooms or wing. NOTE: if you run occupancy reports in the past they might not be correct unless you match the status of the rooms at the historical time period that you are running the historical occupancy stats.
Improvement Added revision numbering to CS. The CS number on the top right, now shows a ‘rev#.’ This is auto-generated by the system. A CS without this ‘rev’ showing is newly created and in-progress. Once it is ‘Rolled Forward’ the ‘rev’ number changes to ‘rev1.’ If the CS is ‘Rolled Back’ for editing, ‘rev2’ will be shown. Every time the CS is moved from a completed state to an in-progress state the ‘rev’ number is incremented accordingly.
Improvement Numerous reports have format changes to improve readability, better utilize space while increasing field size.
Improvement The ‘Weekly Chargesheet Audit’ report now shows on the report an ‘Occupancy Check’ in a small box under the totals to help in balancing stats. This check is directly related to the ‘Booking Type’ of the CS and the room booking.
Improvement The ‘Weekly Linked Chargesheet Audit’ report has been added to ensure that linked CS’s correctly show charges and state (ie. timeout, checked-out) for bookings. For example when you print a linked CS some of the squares could be unchecked. The reason is they could be checked on the other CS. Since you do not have both CS in front of you at the same time you are not sure what is correct. For auditing print the ‘Weekly Chargesheet Audit.’ This will show you who are on what linked CS’s, what state and whether they have been charged on one, both or neither of the CS’s.
Improvement Added ‘Occupancy Status Monthly’ report. Go to Reports->Occupancy Status->Monthly. This report shows the total occupancy and meal count for the selected calendar month.
Improvement Added the ability to print a blank Check In form. Click on Reports->Forms->Blank Check In. You will be prompted for the printer and copies. NOTE: There is pre-perforated paper that is to be used with this layout. Contact the order desk to obtain the paper – request pre-perforated check in form paper.
Improvement Added the ability to print a Check In form with information depending on state and what data has been previously entered. On a reservation booking or checked in, to print the current information on a Check In form click on a booking and then click on ‘Form.’ This will produce a Check In form with information printed on it. You can then hand write needed or additional information on this form along with having the guest sign. NOTE: This uses pre-perforated paper – see above.
Improvement Added the ability to print a Timeout Log form. Click on a booking, click on the Timeout Log tab then click on ‘Print Timeout Log.’ This will produce a report showing all recorded timeouts for the booking. The proper process is to have this form printed and signed when someone goes on timeout. This is also the time to check the ‘Flag as Timeout when processing Daily Update.’ When they return you uncheck the ‘Flag as Timeout when processing Daily Update’, click on ‘Print Timeout Log’ and have them sign the form. The purpose is to confirm that the timeout information is correct and filed. NOTE: This is also a good time to consider how to handle the ‘Reset Linen Change Trigger Date.’
Improvement Added ‘Vacancy’ report form. Go to Reports->Rooms->Vacancy. You then select a date and a report showing what rooms are available and how many days before the next booking. If there is no next booking that area is left blank and can be used to hand write potential reservations prior to entering the reservations into the program.
Issue/Improvement If someone Rolled Back a CS and moved the booking to another CS and then Rolled Forward, for the first time, the CS with the moved booking on it, there could be two CS with the same booking. This would show as errors in totals and on reports. It would also prevent CheckOut until the error was rectified.
Solution/Repair Fixed. The system now prevents this condition and therefore removes the need to fix this manually. Warnings will be displayed and the system will tell you how it resolves the situation automatically. If you need to change what has been done automatically you can by ‘Moving’ a booking from one CS to another manually.
Issue/Improvement A CS could be voided with bookings on it. This causes totals to be inaccurate.
Solution/Repair Fixed. A CS cannot be voided unless all bookings are removed. Other charges can be left on the CS and these will be voided.
Issue/Improvement CS edited when shown in the ‘Charge Sheet History’ grid.
Solution/Repair Fixed. A CS cannot be edited unless Rolled Back to an In-Progress state. See above ‘Added revision numbering to CS’ for the correct process and tracking of changes.
Issue/Improvement Project drop down on CS does not refresh after adding a new project to the list.
Solution/Repair Fixed. The Project list is refreshed immediately after adding.
Issue/Improvement Information is not immediately reflected between booking and CS windows when viewed at the same time.
Solution/Repair Program context changes have greatly improved the transfer of data between these windows. A good practise is to have only the window you are working on opened.
Issue/Improvement CheckOut dialog boxes and grids were too small.
Solution/Repair Fixed. The boxes and grids were enlarged to show more information.
Issue/Improvement Multiple ‘Search’ windows could be opened which caused conflict with changing information.
Solution/Repair Fixed. A single ‘Search’ window shows up regardless of how many time you click ‘Search.’
Issue/Improvement Default list is not universally consistent.
Solution/Repair Fixed. During the latest update all the lists will be fixed to include all current defaults.
Issue/Improvement CS grid does not always refresh.
Solution/Repair Several processes associated with changing data in the grid now immediately post. NOTE: If the data in the grid does not change click on another row and this should reload the grid.


EARLIER PRODUCT ENHANCEMENTS (Versions 1.8.2 and earlier)

Improvement Header and lines made smaller on Housekeeping Report. This will allow a single sheet to have a least 50 lines of room information.
Improvement New - Weekly Occupancy Status Report. Go to Reports - Occupancy Status – Weekly. This report will bring back a whole week of information. Regardless, of the day of the week you chose the information will be from Sunday to Saturday inclusive.
Improvement The process of producing an email ‘Package’ has been added. The ability to email several reports of your choosing all at once, called a ‘Package’, has been added. When producing a report you can select the package icon at the top of the screen. This will allow you to create a new package (+ sign at the bottom of the screen) or add to an already existing package. You can continue adding reports by running them and then selecting the package icon. Once you have all the reports you want in a ‘Package’ select the package icon with the green arrow from the main screen to email the package.
Improvement Internal Sync processes altered in preparation for online approval.
Improvement Added a link to the website that will show Improvements, Issues and Solutions to the program. Go to the main screen – Window – Version Info. This will open up a browser and select the Carma SITE Program website Verions page. www.carmasystems.com/camp/versions.aspx

Improvement Added ability to merge Guests (situation where two guests are the same with different spelling – you can delete one of the names by merging with the other guest). Security added to this function.
Improvement Security added to Room setup. Removed the ‘Room’ large icon from the main menu, along with the ‘Insert bed’ icon.
Issue/Improvement Backup causes errors after backup "Sp_" references are lost.
Solution/Repair Repaired.
Issue/Improvement The daily update is the most important automation process. It has a lot of good information about problems in data. Unfortunately, the users automatically press ‘processes’ without checking the information on the screen. The solution is to add the function of not being able to continue without first acknowledging the discrepancies.
Solution/Repair. They now have to acknowledge the discrepancies by clicking on the individual problem areas.
Issue/Improvement Add item in the Misc item CS does not work. You have to do it from the menu.
Solution/Repair. Repaired
Issue/Improvement Truncates the ext price when the quantity is less than a whole number. Also the unit measure locked.
Solution/Repair Added the ability to higher decimal places and unit of measure unlocked.
Issue/Improvement On rolling forward a CS Wellsite copies the whole week. This was the original specification but it breaks the convention. A line should only rolled forward if there is a value in the Saturday column. Then roll the name forward onto the child CS.

Issue/Improvement When changing the booking rate while making a reservation the rate does not hold. As a result, if you checkin the value reverts to the default value. If you change the value when making the booking and then immediately checkin then it holds the value and writes it to the assigned CS but the value in the booking will revert to the default.
Solution/Repair Repaired
Issue/Improvement When Overstayed (daily process) you get a list but can not change the date. The calculation is not correct either you have to be 2 days away. Regardless, the date should be overstayed when one day beyond the estimate checkout date. We do not allow changing the departure date through the interface because it might violate the next booking. Unless we check the records for reservations, checked in or checked out bookings within the date of departure.
Solution/Repair Repaired. The calculation is now correct and you can change the departure date because a check is being performed in the background to ensure integrity.
Issue/Improvement Does not refresh on checkout drill down from CS.
Solution/Repair Repaired.

Improvement Linen change cycle date now can be modified. The cycle can be altered through the ‘Timeout Log’ of the booking form. By pressing on the button ‘Reset Linen Change Trigger Date’ you are changing the cycle date for the linen change. For convenience, there is also a procedure within the Daily Update. When you click on the Auto Timeouts you may select ‘Linen Trigger Dt’ and a calendar will popup where you can select the date.
Improvement A change guest icon has been added to the booking window at the right most end of the guest name field. This will allow you quick access to the guest info window for fast updating of information.
Improvement Mulit Checkin checks the guests dates against the CS as it iterates through the checkin list.
Improvement Timeout counts on linked CS now correct in Occupancy report.

Issue/Improvement If the tab for the room is empty then it automatically displays 'Wing' or if it has one blank space in the Defaults then it prints only the blank.
Solution/Repair Corrected to not print anything when the field is empty or blank.
Issue/Improvement Main screen will not refresh after entering Wings, Rooms, or Beds in the 'Rooms' setup page.

Issue/Improvement Empty reference to a Company on Guest causes an error when editing that guest. Editing the record does not show the first name or last name since the reference is broken. Request to be able to have a Guest without a reference to a company. Need the ability to empty the reference to a company if it had been previously set.
Solution/Repair Error removed. Guest does not require a company affiliation. Company reference can be removed.
Issue/Improvement Sync should not be able to download the data until ready. The receiving end should inhibit the program from sending and therefore locking the data.
Solution/Repair Added controls to mitigate this problem.
Improvement Added the downloading of default lists i.e. roles, divisions, etc. to Sync.
Issue/Improvement Reports-Rooms-Current Room Status report over fills the box when OutOfOrder.
Solution/Repair Added the reason for the Out Of Order status to the end of the line. Changed the Menu to ‘Room Status’ from ‘Current Room Status.’ Added the date to the report (selected date).
